Confirming Staff Hours & Approving Shifts Is Easy, Efficient and Painless With Humanity

Our integrated scheduler and business management software gives managers control, while making scheduling, payroll and overall business processes quick, easy and efficient. Sometimes it is useful to double-check staff timesheets and shift hours worked before payroll processing, for extra accuracy and peace of mind.

If you want to confirm worked hours before they are accepted into the system, make sure you have the ‘Shift Approval’ feature turned on. Alternatively, if you do not want to go through the process of confirming worked ours before they are accepted into the system, make sure you have the ‘Shift Approval’ feature turned off.

Go to the ‘Admin’ tab and under the ‘Account’ subheading, click ‘Account Settings’. Here you will see the ‘Schedule Settings’ heading, where ‘Use the shift approval feature’ is listed. Check the box next to it if you want to turn the feature on, and vice versa.

When there are shifts that need to be approved, they will appear on your ‘Dashboard’ or in the ‘Requests’ tab, which will read ‘(x) Shift(s) needing approval’.

To see the ‘Shift Approval’ window you can always go to the ‘Requests’ tab and click on ‘Shift Approvals’. All shift times needing approvals will be listed in chronological order. You can also filter the list by position or employees. Simply click the checkbox next to any given shift to automatically save and approve the shift time.

Approve Shift Attendance

To change the times they actually worked, click the shift click the shift approval in question and the ‘Approve Shift Attendance’ window will appear.

Here you can adjust their times and check if they actually worked that shift or not. If you adjust their start time to be after the scheduled time then you are marking them as late which is shown in their profile statistics as well as in the attendance report.

In-Line Shift Requests and Approvals 

You can also ‘Approve’ or ‘Reject’ requests in the ‘Shift Edit’ window. Click an existing shift on the schedule and the ‘Shift Edit’ window will pop up. Shift requests can be found in the ‘Who’s Working’ area.

In the scheduler past shifts will be slightly faded out and ‘Approved’ shifts will have the ‘Check’ icon. Note that the icon will only appear in certain views and you might have to hover over the shift with the cursor.

Once a shift has been approved you can click on the shift where you can ‘Unapprove’ it or ‘make changes’.

Click ‘make changes’ and it will take you to the ‘Approve Shift Attendance’ window.
